Message has a range of a few hundred feet.
Whispering Wind goes a few miles.
Sending can send a message to anywhere on the same plane.
The ring gate magic item has a range of 100 miles, though you are limited to passing notes to that one single gate.

It needs to be able to travel at least a few hundred miles. The Sending spell seems like it would fit that bill.
Sending has unlimited distance but 2 huge limitations: 25 words max in a message and 10 minute casting time.
It does work great to send and receive short messages but it is not at all quick. Also it is high enough level that it takes a decent level caster to use it more than a few times a day.
greater teleport
A set of crystal balls also has no range and even works across planes. With two balls, you would have to holdup written notes for the other person to see. You would also need to arrange a set time to communicate or send him a message some other way so the recipient knows to be at his ball to view you.
A crystal ball with telepathy lets you communicate with any creature you view in the ball. The recipient doesn't need a ball of his own, and can communicate back.

Sending can also send across planes :)
If the creature in question is not on the same plane of existence as you are, there is a 5% chance that the sending does not arrive.

Does anyone know of any pre-exhisting magic items that act like the Sending spell or utilize the Sending spell?

Is this for PC's or an NPC to use or initiate?.
IF the answer is the latter, they just do it through their own personal Mumba Bunga arcane/divine/infernal/demonic/chthonic/faerie/ whatever flavor you want/ link in which they get their point across as a mental voice in the head/floating apparition/magic mouth effect on the nearest rock/voice coming from the local barnyard animal or talking doll they were gifted with.
You don't need mechanical rules for a story effect whose purpose is just to set scenes, or move things along.

Kind of problematic since they have no means to carry stuff.
Befriend a blink dog (Leadership feat for monstrous cohort? One of the summon monster spells?). Have it be a really fast postal messenger.

It seems to me that if the written message is an object that doesn't exceed the fifty pound limit, the archon can take it along when teleporting.

It doesn't have access to that, or to Continual Flame. Summoned creatures from that spell cannot summon, teleport, shift planes, or replicate spells with expensive material components. You would need a calling spell.
Irriseni mirror sight allows the caster to see the view from any mirror that they are familiar with, or a person or place they are familiar with (assuming there is a mirror in the vicinity). You can allow the mirrors to work both ways. It's a great spell for spies.

I know I recall poor Maplewing's heartbreak when the dreams of her father/mentor were out of the spell's range (same plane). But the game mechanics evade recall at the moment.

Dream is a 5th level spell that can deliver messages to any distance but it's a one way thing. It beats sending on that there is no length to the message delivered, so theoretically you could relay your whole battle strategy to a far away ally :D
