Greetings all! Here is what I need from you before we start:

I don't force people to use a particular sort of set up for their character's sub-header, but there are a few things that I like to see just beneath a character's name, and in roughly this order:

If you want to use these just copy and paste all the text after the examples' genders and races into the Classes/Levels space on your character's profile page and edit it with your own character's info. Enter the character's gender and race in the appropriate spaces and you are done.
What I am really looking for is a character's: AC (all three), CMD, hp (current and max), saves, speed, initiative modifier, reactive skill modifiers (perception, sense motive, spellcraft, and knowledges (you can put all your character's skills in if you like and they'll fit. I just like to have quick access to the ones I might have to roll). Beyond that it is helpful to keep some space for conditions (inspired, blessed, poisoned, staggered, etc....) and space for daily use/charged items, and abilities you use most frequently (wand charges, arcane bond, class abilities like channeling, or spell slots, etc...). If there are any other notes you feel are important (bonus to a specific sort of save, darkvision, etc...) just include it where it seems most logical (as Example 2 above).
If your character's crib notes don't all fit in the Classes/Levels space you can always add some of the info to the Race, and Gender spaces. There is not a lot of space so the fewer colons, commas, periods, and (God's forbid!) text tags ([-b-], [-ooc-], etc...) you add, the more space you will have for what's important.

Also consider reading the HOW TO PLAY PLAY-BY-POST section in the Campaign Info section of The Flaxseed Lodge (PbP Lodge for Pathfinder Society) for very useful basics on how to participate in a PbP game.

There has to be a program that would help out but my search did not come up with easy answers. I just spent my afternoon making simple macros in MSWord to help with the BBcoding. Nothing very elaborate but does the job for me. I could not figure out how to color text though. Found two ways that should have worked but neither did. Does anyone know? I would like the help.

As far as I know, there is not code in Paizo's forum interface for coloring text.
Also, as a note, it's pretty traditional in PbP to use italics for active thoughts, and to use normal case for describing actions etc.
e.g.
I'm sure I tried to color text at one point. GM Dou pondered this for a moment as he stroked his glorious beard. Realizing that he was never able to control text color on Paizo's website, he turned to face the bearded man. "I'm sorry, Kevinmcc, but as far as I know, there is not code in Paizo's forum interface for coloring text," he stated sadly. Brightening up slightly, he continued, "I'm pretty sure we can have a good PbP game without it, though."

I would suggest that while crafting our responses we put a place holder in the Gameplay feed then just edit it. This way we won't step on toes or get all out of order.

Since the map can acquire labels can it perhaps also acquire the town hall? I assume my character has some idea where she’s standing but I don’t have a clue.

I suspect that Lalia may be working on this already, but it would make sense to hash out a prospective order of the workshops / businesses that you want to visit to ask find out information about the apprentices. It's non-binding, but it will really simplify things when we're trying to figure out where the "next place" to go is and people are only posting once per day (which is a fine rate!)
I'd suggest hashing it out in the Discussion section out of character, or I can just offer an order if you don't feel like dealing with it.

In the absence of any hints as to where to go first, I would just start at the haberdasher and work clockwise, taking us back towards the town hall. Preferably with those who are more social/more likely to succeed at a diplomacy check doing so before leaving. That would make the order gallows/haberdashery/cobbler/tavern/apothecary/bakery/general/temple/town hall to discuss what we’ve learned with the mayor. Possible side stop at farmlands during the haberdashery/cobbler/tavern group. However, if someone has suspicions on where to visit first, I’m certainly open to another order. My thought was just to hit up what looks like the highest concentration of incidents first and then work through them in order of closest.

I like that order. As an also alternate option is to hit counter clockwise, end up in tavern unless we want to talk to the mayor again, if anybody prefers that. Otherwise I'm good with Lalias' suggestion.

I think skipping over to the apothecary after the haberdasher might make sense now that we’ve been hinted in that direction. (In the absence of other, more compelling hints of course.) I propose moving the apothecary to second in our proposed list of locations for now.

how would like to handle prepared spells?
Just a listing at the beginning of each game day?
I'd say just toss a list at the bottom of your profile and update it as necessary (when you prepare your spells for the day, if you choose to prep different ones). I trust everyone here not to be editing that on the fly in the middle of a combat.

Had he been acting strangely at all before disappearing? Are there any places you think he could be that you have not checked yet? Do you have any thoughts on what may have occurred? Is there anyone you think we should speak to that may be useful in locating your apprentice?

@Lalia, if you're not in immediate danger or distracted (e.g. in combat) feel free to take 10 on any Handle Animal checks for Fyrra. You're welcome to put this in Dice (10+skill mod rather than 1d20+skill mod), but it's also fine by me if you just say something like "Lalia asks Fyrra to Stay outside of the shop" without showing the numbers.

So it looks like we have more information now. We also have a few options (actually infinite options of course, but some make more sense than others. Setting the town on fire and leaving is technically on the table but not quite in the spirit of the thing.) I am going to suggest a few- hope no one objects to me suggesting them! I’m always happy to go with others’ suggestions if anyone would like to offer some.
Option 1: go to the temple, skipping other masters, and then go to the estate.
Pros: gets some info but also takes the party to the probable combat more quickly. Cons: does skip masters that are heavily hinted by our lovely GM to have more info.
Option 2: Skip everything else and go straight to the estate. Pros: Gets to probable combat fastest. Cons: operating on minimal info. Some of this info could be vital, or some could rule out the estate as a red herring.
Option 3: visit all the masters - returning to the process of which is closest- then go to estate. Develop a standard operating procedure to speed this up real-time wise. E.g.: PC A introduces themselves and their errand and offers the letter. PC B asks some questions (opening questions standardized possibly?). PC with high diplomacy rolls to influence attitude if the master is reluctant to assist. Pros: hits all the locations noted as important but speeds things up Cons: more structured/strict, still slower than skipping locations.
Option 4: Visit all masters in order of closest but without a specific planned method. Pros: hits all locations noted as important. Remains completely freeform for whatever people would like to do. Cons: slowest method (real time)

If we have the list of standard questions that we are going to ask each Master it should go fairly quick. I'm getting a hint that we shouldn't skip any.

So for option 3: I’d propose that Earll Fynn introduces himself, the rest of us, and our task to the master as the most diplomatic of the currently active pc’s. (this would also probably be his chance to attempt to flirt with any new female npcs as seems to be his m.o.) Potentially try at this time to diplomacy them into being inclined to answer our questions.
Earll can then name a pc and ask the master to please answer their questions. If Earll wants to ask himself he’s welcome to ofc. The named pc then can ask when they were last seen, with who, any clues as to where he/she was headed and any suspicions as to where they might have gone. We then ask about the estate after getting the answers to the previous questions in case someone gets touchy (can always have one of the characters that is particularly interested in magic ask this even if they’re not asking the other questions).
Thoughts? Ideas? Preferences?

I'd say track encumbrance. But if you want items that you wouldn't normally carry (feed, rations, pots and pans, bedroll, etc) in town, I'm more than fine with saying you left them at the inn until you need to go it to the wilderness. Just mark them in your character sheet as such.
