Time is short. There is a hard cap on time because you have to start the next event and someone needs your table.
Have a three ring binder with your character ready to go
Check out the scenario blurb and make a spell list before hand. Your character usually has time to do this in between the briefing mission and going on the adventure, you don't.
Table tent: these people aren't going to remember the names of all 37 characters they played with this weekend.
Bring ALL of your characters. The last thing you want is to have a game get canceled and then you can't get into the other game or get stuck with a pregen because you don't have a character.
Make a brand new level 1: if nothing works someone will probably run a level 1 scenario
If there's any chance of you leveling, pre level the character. That way you don't have to chose between lunch and trying to shop for your next feat.

All those make sense, but does it have to be 3 ring? I use a folder, its easier on my back.
The last time i checked out a character with a folder, they thought they were level 1, when they were in fact level 3. Chronicles were out of order, all over the place, and they had no idea which chronicles went with which character. Its certainly DOABLE, but makes it a lot harder with multiple characters.

I keep a manilla folder for each character. On the tab I have their name and "-#". On the front I have each scenario hand written and my GM credits highlighted orange. On the back I have my little Chronicle boons and their effects listed. Then each folder I keep in order in an accordion file. Super easy.
If I had a 3-ring binder for each, I'd need a filing cabinet on wheels for them all.

I actually did have (and still have) a "filling cabinet on wheels" - but I out grew it.
I gave up on the 3 ring binders long ago, now I use folders that hold my sheet protectors in place - the type that has the little brass fold down tabs to hold everything in place just like my 3 ring binders did (better actually - they never pop open), but takes less room (and weight). I went from 3 binders to 15 folders and they take less room. (I do use the special folders after about 6th level, that have the metal slides so it will hold more sheet protectors than my old 1" or 2" binders).
Plus they are cheap enough that I have started putting one together with 5 ot 6 sheet protectors in it and giving it to the beginners.
I also put my table tent in the first sheet protector, and at the start of the game slide it 1/3 or 1/2 way out and fold it up - so it shows my character picture and information, while using no table top space. Pick up time is next to zero... just close the folder and head to my next table.

I use the Plastic clear sheet style protective folders. You get about 20 or so sleeves per folder and you can buy them in different colors with an insert for the front page (say if you want to show a picture or the character/pathfinder number in big font). The character goes in the front (in this case a Herolab print out) followed by chronicle sheets which slide in 2 to a protective sheet. That way everything is in order as it should be.
For characters with spells, I operate differently. The character is spread over 2 folders. one holds character details and a full spell book list , the other is just Chronicle sheets. Its a good idea to keep the color the same for both folder to identify this is for the same character.
Prelevel your character at least once (sometimes twice). Ie create the character at the next level.. obviously gold you cannot do but everything else is possible. Stats, feats , skills etc. Again as a I use Herolab im constantly planning ahead in levels which I save and review. Its pretty easy to do this without Herolab also.

I us an accordion file - one pocket for each character, plus the one at the back for general stuff like spare characters sheets and ITSs (and a few spares in between for future characters).
Chronicle sheets are are paper clipped together (in the right order), old character sheets are stapled, so any lose sheets are the current character.

Accordion files don't seem to be up to handling my ever-growing roster of PCs. Every time I run Accursed Halls,. and I keep getting asked for it, a lot, I get a new second level PC out of it. I think my highest PC number is currently -23, but it might be only -22...
And I have PCs ranging up to 13.2...

I have a level 15, a 12.1, and two 11.2s.
I removed the 12.1 and her accompanying 1/2 inch thick file from my accordion since I don't have any plans to play her again. She's safe in my filing cabinet at home should I ever change my mind, but I see no reason to regularly cart her around.
I'll do the same after the next two characters hit 12. They were both great characters, but post-12 play is not in their future. I have another 11 that I'll be taking past retirement instead.
And my 15 I still plan on playing a few more times.
I figure as the conveyor belt of characters cycles through my accordion it'll never actually get too full.
And ten level 1 characters takes up about as much space as one level 12.

Hmmm, these look like something that could keep my characters fairly organized (no mean feat). Anyone know if any office supply behomeths here in North America carry a similar product?
