I Hope You will forgive me if I am Posting this in the wrong place. My Group is trying to Establish a Pathfinder Society Presence at our Local Gaming Store. (Fourcorners Comics & Games; Gettysburg, PA) To that end I am running Menace Under Otari for a Group of Players who participated in my last (possibly final) D&D 5e Campaign.
I have been running TTRPGs for nearly 34 years, and in preparation to run PF2E: I spent some quality time on the Nonat1 & HowItsPlayed YouTube Channels, Converted my Favorite Basic D&D Adventure Book (Castle Caldwell & Beyond) into PF2E, and purchased physical copies of the available Core Products (To include the remastered Player & GM Core Books, and the Pathfinder Beginner Box). I have also browsed and skimmed the PFS Guide to Organized Play on the Paizo Website.
We have run through the majority of the Menace Under Otari (Upper Level), and plan to finish it/hand out Chronicles, and Report it on 01/28/24. Our first attempt has spawned a few Questions, and I’m Hoping You all can help me answer them. I want to have the Players make any changes to ensure that their Characters are Legal before we Play.
1)We have no Venture Officers here, so who/where do I send our Reporting Form to?
2)Related Question: Do we need to register an Event to have an ID # to report on said form?
3)Our Player of a Leshy Rogue has selected the Bladed Scarf as a Weapon. In addition to the World Traveler Boon, does he need a copy of Treasure Vault to use it? (He is happy to go to a Whip if needed)
4)Our Player of a Half-Elf Kineticist has purchased a Physical Copy of ‘Rage of the Elements’ to make sure She is legal - is there some kind of proof that She needs of that?
5)If there anything else I need to Know before I run the last part of ‘Menace Under Otari (upper Level)’?

Nobody, you can do the reporting yourself. In the My Organized Play section, go to the "GM/Event Coordinator" tab. Create an event. You can then click on the "report" button for the event.
The event organizer can collect the reporting forms and do all of this themself, or they can designate other users as reporters for the event (although I've never done that).2)Related Question: Do we need to register an Event to have an ID # to report on said form?

You always need a copy of the book, outside of the core assumption--you're assumed to have access to core books like the CRB and now PC1.
That said, the Beginners' Box isn't a PFS adventure. It's a sanctioned adventure, which means you can still report it and generate Chronicles for it, but you don't have to play it by PFS rules (in fact, you can't--in the second half you level up mid-adventure). So your BBox characters don't strictly have to be PFS legal.The Beginners' Box has a separate Chronicle for the Upper Level and the Lower Level. Both are equivalent to one scenario for credit, so they're 8 XP all together. They can be applied to any character, and it doesn't have to be the same character--but when playing a sanctioned adventure make sure to read the sanctioning rules. Beginners' Box credit can only go to first-level characters. Which sounds fine for you, since you're all new to Society and using new characters

She needs to prove it whenever a GM or event coordinator asks. Having the book is proof, and she probably has it when playing that character, doesn't she? Even if she doesn't, well, sounds like you already know she has it--you don't have to audit her every session.

If your players are using custom characters outside of the guided choices from the Box, I'd advise them to have level 2 character sheets ready in advance when you do the Lower Level.

Super Zero touched a bit on this topic already, but just to be clear: Beginner's Box assumes the characters level up in the middle of the adventure, and the characters are level 2 when the beginner's box ends.
However, the beginner's box only gives 8 xp in total (4 for the upper floor and 4 for the lower floor) and society characters need 12 XP to level up, so your players Society Characters don't actually level up yet - they will still be at level 1 (with 8 xp) despite having played the end of Beginner's Box at level 2.

Thank You, that clears things up a lot. I have forwarded screen shots of this Thread to the Players who are participating on the 28th, and they send their appreciation as well.
Our plan is to finish 'Menace Under Otari's Upper & Lower Levels over the next few Sessions, and then run the two Pathfinder Society Introductory Scenarios. This group will then go on to run a Sanctioned AP.
At that point I will keep this series of Otari & the PFS Intro Scenarios open to run for other groups interested in Transitioning to Pathfinder II from certain WotC products, and for those looking to experience a great TTRPG for the first time. :)
We will also continue to work towards the establishment of a Society Presence in Gettysburg PA.
