Go into your organized play dashboard, accessible from the Paizo site by either going to the Organized Play dropdown > My Organized Play or My Account > Organized Play.
Go to the GM/Event Coordinator tab and click the "Create Your Event" button. (Whoops, it's so easy that I just accidentally created a new even while reviewing there... new question, how do I make it go away?)
You probably want to give your event a name, but you don't need to fill most of the rest of this out or schedule sessions in advance. I think at some point there was more of an idea that people would use that system directly for scheduling and recruiting.
If anyone other than the creator is going to be reporting sessions for this event, you can also add them as designated reporters so they'll have access... I've never used this, personally, but it's used for larger events where multiple people are reporting games and they aren't necessarily the GMs. I've GMed for such events, but never been HQ staff!
If you're using RPG Chronicles, that handles the sign-up sheet and Chronicle generation for you.
Open the RPG Chronicles page for the game, then scroll to the bottom and click the "Save Session Information" button on the right, and then "Next Step."
Some scenarios have checkboxes that appear on the Chronicles that describe what the PCs accomplished during the adventure. The RPGChronicles tool didn't always handle that bit for you, but they're implementing it now... so you may or may not see the option to check those boxes here and have that printed for you on the Chronicles.
Next, you'll see spaces to enter how many Treasure Bundles the PCs earned (it's usually 10, but subtract any they didn't find), Reputation including any faction missions (usually four, but check the section in the scenario about "objectives"), and four additional checkboxes labeled A, B, C, and D.
If your scenario includes instructions for checking the lettered boxes, follow them here. If not, you can just ignore them. You might see something like "If the PCs killed the villain, check box A. If she escaped, check box B. If they captured her alive, check box C." This is used by organized play to determine what most parties did so they can determine a canonical outcome if they need to reference it later. Not all scenarios use this.
(If you weren't using RPGChronicles, you'd have to reference the treasure chart at this point to determine how much a bundle is worth for each PC's level and then multiply that by the number earned. The tool handles this for you, though.)
If you're feeling generous, you can ask your players if they'd like to make downtime rolls and enter that information here so that it's neatly printed on their Chronicles for them. You don't have to do this; handling downtime is the players' responsibility.
Then scroll to the bottom, click the save button and "Next Step."
This page may ask you to verify that you own the scenario by entering the code you'll find at the bottom of the Chronicles in the file.
If you have a paid RPGChronicles account, you'll have the option to email Chronicles directly with one click. Otherwise you can download them and access player contact information here to send them yourself.
It will also lay out the information you'll need for reporting.
At this point, you can go back to your organized play dashboard, find the event under the GM/Event Coordinator tab, and click "Report."
This part is actually pretty straightforward. Just fill out the form by entering the information from the chart on RPGChronicles (or other sign-in sheet).
The main issue here is that you have to be fairly quick or it will time out. (Do not switch tabs or multi-task while doing this, get it done in one go.) Your first couple times you'll probably have to read the form to see what goes where, so you might be too slow. That's fine, you can just try again if you get an error message.
To finish dotting your Ts and crossing your Is, you can go back to RPGChronicles to mark it reported and add the session number... but if you completely forget to do this and then do it six months later while using one of your old sessions as a reference while explaining it to someone new (hypothetically), nobody will ever even notice anyway.
I've probably made this look like a daunting task, but I'm trying to be super detailed per your request. It's not very difficult, and this entire process does not take very long once you've got it down.
As an organized play GM, you have two "paperwork" responsibilities after the game: Chronicles and reporting. If you've got them both done.. that's it!
