Here's the projected timing for the various parts:
Part 1 (mustering): May 22-May 24
Part 2: May 24-June 6
Intermission: June 6-June 8
Part 3: June 8-July 5
These dates are based on the 6 minutes f2f=1 day PbP/PbD conversion, rounding up to the nearest day. The closing may slip a little because of the US Independence Day holiday, but hopefully we won't need to do that.

The times above assume that we start mustering when the VTT games begin. I looked at when the other multitable specials are starting, though, and it's after the VTT games have finished (so May 24th or 25th). If it's OK with everyone, I'd still like to start mustering on the 22nd, but not start Part 2 until the 26th. That's going to push the nominal end date to July 7th. What do you all think about that?

The discussion among convention organizers was that only mustering (and the checks including it) would overlap with the VTT convention. This was to allow people to play characters in the VTT games and still use them in the MTSs. Based on this, yes, it would be better to not start until the 26th (or late on the 25th, after the last games end)

Table GMs: do any of you have plans that would take you away from the game for more than a day during the time span described above? EbonFist and fern are available as backups, but it would be good to know in advance if there are times that they should try to make themselves available.

No plans. I work Sundays through Wednesday so I usually post when I get home from work. And I'm off Thursdays, Fridays, and Saturdays. I can usually post 2+ posts/day when I'm off.

I would need back up from June 6 to 12. There's a chance I can manage it but more likely than not need back up.

Is it ok if I start building my Slides now and create the Gameplay & Discussion thread for the players to start signing in?
Do I need to create a signup thing on RPGChronicles so I can issue Chronicles at the end of the game?

It's definitely OK to create your gameplay and discussion threads; several of your colleagues have already done so, and have players dotting in.
Re RPGChronicles, I haven't seen anything requiring it for reporting, and I searched the Discord threads where I'd expect to see it. Redelia, any comment?

We will be using RPG Chronicles for reporting, but there will be a 'guest mode' set up to report. You do not need to use it for generating chronicles, although you can if you choose.

If it helps this post on the convention's Discord contains the link to the GM guide document which has the information about PRGChronicles plus a bunch of other useful information for GMs running games at BTG (As its on the private GM channel on Discord I posted the Discord link rather than the direct link to the document).

Also, it looks like they don't have the scenario/chronicles in their database.

RPGChronicles guest mode is to allow GMs who don't have a RPGChronicles account to report games. There is a section in this guide that covers guest mode in more detail.
Based on some of the discussion on the BTG Discord, although this scenario is not currently available on RPGChronicles, a request has been put in to get it added, so hopefully it should be available to be selected soon.

If so are players ok to make those even if their character may be in one of the VTT games over the weekend (i.e. would it count as being in two games at once)? Also is it ok for them to make those even if they have not fully updated their characters yet as I know in a few places it said the PbP specials were not starting until the 27th, so I suspect some players may be expecting to have over the weekend to update their characters ready for the start of the game?

I will be good, thankfully. The most is that I *might* be busy on the July 4th weekend, but as of now there is no plans so it's hard for me to say at the moment, should be good on my end!
So far, I have not begun the scenario formally, I simply have set a simple scene for people to introduce characters optionally should they want to to get the ball rolling and have done to hit the ground running on the 26th, all ready to go on my end otherwise!

The mustering does include skill checks, but since it'll run for a couple of days past the end of the VTT portion of the event people will have time to update characters, check in, and roll before we move to Part 2.

I'm seriously considering dropping out as GM in my tier 1-2 core game.
Having two level 4 PCs in the game won't be fun. Even though they expressed they wouldn't take over things, during mustering, the oread has already beat the DCs of the skill checks before others had a chance to roll. They even mentioned that they would just hang out in the background.
Please. Put them at the 3-4 or 5-6 tier tables.

They are core characters, and if they played at a non-core table, they are changed forever. This would not be a solution to the problem.
The solution is to work with your players. I'm sorry, but I don't see a problem with a player doing well at a skill check. This only becomes a problem if the other players feel like they are not able to contribute to the game as a whole.

Oh, that's right. I'm doing a Core game.
I'll try to work with the players of the higher level PCs.
I still don't think it's right to have level 4 PCs in a tier 1-2 game.

Regarding this:
Average: The owner procures a 2nd-level potion of the PC’s choice for each of the characters, in addition to the potions of cure serious wounds. The potion cannot have an expensive material component.
Hard: In place of the above reward’s 2nd-level potion, a PC can choose to receive a 3rd-level potion that has no expensive material components.
For the hard check reward, does that mean the entire group only gets one third level potion, or does each PC get to choose one?

My interpretation was that each PC could choose to get a 3rd level potion rather than a 2nd level one if the party make the hard skill check DC. The text for the Average check reward talks about what the whole group can get while the text for the Hard check reward talks about the choice each PC can make in relation to the Average check reward.
