I have an excel spread sheet that tells me what people have played, which I update, so that the right scenarios can be picked so that everyone can have a good time and we're not getting stale.

FYI - from experience - that'll work for about 6 months...

Seriously, find a better use for your time, you'll be glad you did.

Over here, we've actually had a functional system for recording characters and played scenarios using a wiki and Google Docs. It's been up since Season 0. It does, however, require players and GMs to use their own initiative to record things in order to keep them accurate.

Most of us do have a public log of what's been played or not for local play, but that's very different than the craziness of a coordinator trying to keep it all up himself.

"Oh you went to FantastiCon, well crap...I didn't know that," and the like.

Here's the spreadsheet I (and a few of our locals) use for personal tracking. It's a little out-of-date, but it's generally good.

Here's another given to me a long time ago.

I have roughly 5 other previous examples, but they're all hideously out of date and really fell through because of design a long time ago.

We in St Louis tried a shared google doc spreadsheet. We relied upon players to keep their info up to date. We have 35 players on it but I am not sure how much GM's use it to decide

It's all in Finnish, so you might have some difficulty parsing it. I'll try to list the important bits.

Essentially, what we have here is where we keep track of things. Editing requires a password.

Under "Hahmot" we have our currently active characters, Seekers listed first, followed by all other characters alphabetically within faction. Most characters are publicly visible, which helps with character audits.

Under "Pelikerrat" we have most games held listed in reverse chronological order by season.

Under "Pelitaulukot" we have links to Google Docs of every season and a who-played-what listing, split within the docs into the Helsinki and Tampere regions.

Do the players update their own "scenarios played" or do you have someone assigned to do it?

Usually, GMs are supposed to keep track of those, but when they fall behind, players just tend to do their own. People are generally very good at keeping track of their personal scenarios played in any case.

I've been keeping a personal spreadsheet since I started. Recently I made one on Google drive for the regular group I play with, but it's up to them to keep their sections updated. (Hint: They don't, for the most part. But it's there, just the same).

My local VC, Mike Seales, keeps a spreadsheet of all the players that regularly attend his gamedays. It's probably a pain to keep updated, but with a simple filter he was able to find a scenario that none of us at his table last night had played or ran. For that alone, I think it's worth the effort he puts into it.

I am considering the development of a web based solution (javascript and sql database) that will allow players to register characters and the scenarios they have played.

It will also allow coordinators to schedule and record games and who played them which would update to characters automatically.

Advanced features should include players registering preferred play locations which would allow coordinators to see suggested scenarios for local players. Eventually I would want to include table mustering as well.

I am considering this because getting spammed with emails from the RMPathfinder Group drives me bonkers!

Not sure where I would host this yet, but I would probably pay to host it for my own use as a store coordinator once it was usable.

Sounds like an all inclusive solution to help the coordinators get ahead.

Actually, the easiest thing (from our end) would be for Paizo to implement an "opt-in" feature where our scenarios were viewable. It's mostly there (look at your own scenarios).

When I was organizing a game day in San Diego, there were two other game days locally and one way up north. Instead of trying to track who played what, I just tracked what had been run when and where. So I had a scenario list, and every few weeks I'd go through the Warhorns of the other game days, and when I saw a scenario, I'd update it to that date and flag that game day. Then, whenever I was picking new scenarios for my game day, I'd just sort by date and pick the stuff that had been run least recently. I left it up to my players to keep track of whether or not they wanted to play any given thing.

(Which isn't to say that I didn't respond to requests; as long as there was interest I was good with it. But using stuff that hadn't happened locally in a while seemed a good plan.)

I did have a Spreadsheet for myself - until the USB stuck I had it on stopped functioning.

Redoing it manually seemed a chore. We talk some 400+ scenarios between 4 players.

So I generated a lookup function that allows to go to myPathfinderSociety, copy paste the sessions - and populates a column with character number played.

I'm still refining a few bits. I have all seasons and modules but it lacks adventure path so far. Happy to share if anyone is interested. I guess with a lookup function that this could be adapted to Google Docs.

It isn't fail safe as it assumes the electronic reporting at Paizo is up to scratch. But it still can be a lot easier.
