The society guild guide covers all those questions and is a free download. I highly recommend to go through it.
In summary:
For characters who are not level 2 yet, you are allowed to completely change everything up in between sessions. But once you are level 2 onwards, character progression per the normal level up, and you won't be allowed to tweak the build decisions you've made.
It's still players responsibility to update your characters, but you will be assigned a chronicle sheet from the GM to document your accomplishments. All items found is returned to society (no keepsies) but you earn monetary rewards. I'll explain more when I pass you the chronicles!
@Locken, unfortunately you shouldn't be using the same character in two sessions at once, including PBP. It's stated in the guide. You could get into complications when it comes to tier based rewards, pp spending, and even character deaths. Just bear that in mind in future!
Our advise is always to have one for RL and one for PBP, but they are always interchangeable after scenarios. I have about 8 active characters, of which 4 are in PBP games at any time, and the rest kept free for RL. I interchange then frequently as well.

Sorry for a little bit of a slowdown, had a busy weekend. We should be picking right up again.
As far as the scenario goes, it has been reported, and is considered completed. There is one more optional part that we will head back into the cave soon to see but it does not affect the outcome of the reporting / chronicles. I'll continue us through the optional but by hook or crook we'll have to call it by next Sunday due to my travel commitments.
Chronicles are documentation at the end of every scenario to record your accomplishments. All items you found part of the scenario is not kept. Instead it is returned to the society and you are awarded monetary gains.
You are rewarded XP and (Prestige points) PP. Every 3 XP grants you 1 lvl. Prestige points can be use for certain society bonuses. You will get boons from some scenario and they are mostly self explanatory. There will also be a list of items on the sheet, these denote equipment/items that you can buy anytime. Outside of this, you can still purchase other items, but you're limited by your fame (accumulative PP gained).
All the information above is laid out more detail in the guild guide! I suggest you go through this first, and if you have any clarifications do ask questions! It's too much information really explain it in detail here.
